Job Overview

Reception:

  • In all instances the position requires clear communication. Excellent written and verbal communication skills are paramount.
  • Answer general phone inquiries using a professional and courteous manner, directing enquiries to the ED as necessary
  • Greet Members, suppliers and other visitors to the organization in a friendly and professional manner
  • Maintain a clean and well-organized workspace
  • Respond efficiently to requests, enquiries, comments, and concerns from the membership, executive/board, public and partners.

Office Administration:

  • Assist and collaborate with the Accounting Clerk or Bookkeeper as required
  • Use computer, word processing, spreadsheet, and database software to prepare reports, meeting records as required
  • Process incoming and outgoing mail and email and forward to ED or board members as needed
  • Manage Social Media and Member Communications under guidance of the ED
  • Order, purchase, receive and store and maintain inventory of office supplies and materials
  • Oversee office equipment maintenance including working with contractors or vendors
  • Ensure the website is accurate and up-to-date, working with contractors as needed
  • Provide administrative support to the Executive Director as required to plan, produce, and execute events and fundraising activities
