2. Job Outline: 

The contracted Executive Director (ED) is responsible for establishing and executing the goals and objectives of the Jasper Pride Festival Society (JPFS) as directed by the Board of Directors. The ED provides leadership, direction, and guidance across all organizational activities and secures the funding required to sustain and grow the society. The ED oversees, analyzes, and evaluates the effectiveness of operations, while developing and maintaining an organizational structure supported by staff, contractors, and volunteers. 

3. Job Duties: 

The Executive Director is responsible for the following duties: 

3.1. General duties (15%): 

∙ Keep a close working relationship with the society's members, partners sponsors and stakeholders 

∙ Represent the society at fairs, trade shows and community events alongside the Board ∙ Represent the Society on appropriate committees, network and joint projects and work to enhance the visibility of the organization 

∙ Execute all policies put in place by the Board 

∙ Attend all Board Meetings 

∙ Act as a spokesperson in the absence or on behalf of the Co-chairs 

3.2. Administrative Duties (20%): 

∙ Coordinate the remote office duties required weekly, monthly and annually ∙ Identify all materials and equipment needed to operate remotely 

∙ Oversee the work of staff, volunteers and contractors and provide assistance in training ∙ Provide leadership to personnel through effective objective setting, delegation, and communication 

∙ Establish staff positions, job descriptions, call for tenders and requirements for the Society ∙ Maintain a membership data base for the Society 

∙ Acquire all permits and licenses and ensure, that all laws, rules and procedures are being followed 

∙ Ensure proper liability and other insurance for the society 

∙ Prepare membership meetings, Board meetings and the Annual General Meeting ∙ Minute taking in cooperation with the Secretary 

∙ Maintain a database and mailing-list of donors, sponsors and supporters 

∙ Keep the society's archive in collaboration with the Secretary 

∙ Submit all information, reports and records as requested or required by law to appropriate government officials 

3.3. Financial Duties (35%): 

∙ Maintain the complete financial, statistical, and accounting records of the organization in cooperation with the Treasurer and Secretary 

∙ Monitor the society's budget year round to ensure all revenues and expenses are within budget ∙ -Ensure the accuracy, integrity, and timeliness of all financial accounting and reporting in cooperation with the Treasurer 

∙ Oversee all fundraising and sponsorship activities in conjunction with the Board ∙ Prepare an annual budget and business plan for the Board in cooperation with the Treasurer ∙ Draft financial reports and statements for the Society for review by the Treasurer ∙ Assist the Treasurer in maintaining all financial records and archives 

∙ Prepare and oversee an annual budget for the festival 

∙ Draft financial reports and statements for the festival for review by the Treasurer ∙ Source and suggest a selection of Pride-related merchandise 

3.4. Strategic Duties (15%):

∙ Support the Board and Tourism Jasper in developing marketing ideas and material for the society and the festival 

∙ Reach out to other community or business groups to identify areas of beneficial interest and establish areas of cooperation 

∙ Establish and maintain a positive working relationship with other 2SLGBTQIA+ and community groups 

∙ Provide information for the local 2SLGBTQIA+ community and encourage them to volunteer or take part activities 

∙ Draft and recommend to the Board governance policies for the society 

∙ Oversee policies, short and long-term strategic plans of the society 

3.5.Operational duties (15%): 

∙ Develop the theme and entertainment program of the festival in conjunction with the Board and the creative director. 

-Hire and secure a summer student to help build summer programming through government funded program 

∙ Collaborate on project proposals and ideas with partners 

∙ Assist the festival coordinator in overseeing the execution of the main events of the festival ∙ Assist the festival coordinator in the execution of other events as required 

∙ Provide guidance for the festival coordinator, the volunteers and contractors during the festival ∙ Oversee the society's local fundraising events or entertainment events 

∙ Assist the festival coordinator and Board with volunteers and staffing 

∙ Support media, online and Social Media activities of the Society 

∙ Maintain a proper database and mailing-list of donors of the Festival 

3.6. Duties on commission-basis: 

∙ Initiate new fundraising and sponsorship opportunities 

∙ Acquire and maintain cash sponsors of the Society in cooperation with the Co-chairs and the Board 

- Research grants opportunities and secure 4 funding streams annually, including one major grant proposal per year (e.g. Canadian Heritage Grant) for the Society and its projects

 

Perks & Benefits

The position is budgeted for a 

(1) contract fee of $35 per hour for duties from 3.1. to 3.5. plus 

(2) a 10% commission on grants and cash sponsorships acquired for the Society for duties 3.6. 

(1) Contract fee: 

Expected working hours are as follows: 6 days / month from year-round (72 working days or 576 hours per year). Working hours cover the basic duties, are highly flexible and the candidate is expected to manage his/her hours effectively. The total contract fee of $25 000.00 per annum is paid on a monthly basis. The contract fee therefore equals $2083.33 per month plus applicable taxes. 

(2) Commission: The commission is paid on all grants and cash sponsorships actively acquired by the contractor up to a maximum amount of $15,000.00 plus applicable taxes per year. It will be paid to the contractor once the cash is received and deposited in the accounts of the JPFS.

Job Requirements

The Executive Director must be prepared for the following requirements: 

∙ Holds an appropriate university or college degree or sufficient experience in the management of a non-for-profit organization 

∙ Must have excellent management, strategic and leadership skills 

∙ Must have experience in a corporate, tourism or non-for-profit environment 

∙ - Must reside in Jasper 

∙ Must be well connected in Jasper or be able to quickly establish business connections in Jasper 

∙ - Must have a thorough understanding of the rules and regulations that govern non-for-profits 

∙ - - - Must have experience in budgeting projects 

∙ Must be well connected in the local, regional and national 2SLGBTQIA+ community and its organizations 

∙ Must either identify as part of the 2SLGBTQIA+ community or be active and feel comfortable to work in an inclusive, 2SLGBTQIA+ friendly environment

∙ Should be able to work under pressure and time constraints and be able to meet required deadlines 

∙ Must have good interpersonal skills and be able to work with a diverse group of people

 ∙ -Should be able to work in a group environment and guide staff 

∙ Must have good problem solving and communications skills 

∙ The person must be a positive role model within the community and maintain a positive working relationship with members, stakeholders and the LGBTQA community at large 

∙ Must have access to the internet and social media 

∙ Must have excellent writing skills 

∙ Should be good in typing and note taking 

∙ Must have strong administrative skills 

∙ Must be well organized and work well both independently and within team contexts 

∙ Must be accurate and have a good understanding of financial management and general accounting practices 

∙ Must be able to keep a good communication with business members and have an understanding of their needs 

∙ Experienced in mainstream traditional media, online and social media tools 

∙ Must be an adequate speaker and precise communicator and be able to present to a larger group of people
