Job Overview

This position will begin immediately with an expected end date of February 3, 2026.

  • Support the day-to-day financial operations of the Municipality to ensure accuracy and compliance.
  • Maintain accounts payable, purchasing, and encumbrance functions within the municipal financial system, ensuring approvals and budget limits are followed.
  • Receive, verify, and process invoices, requisitions, and payments.
  • Maintain vendor files and work proactively with vendors to resolve payment issues.
  • Reconcile general ledger accounts, accounts payable trial balances, and corporate credit cards.
  • Prepare and maintain journal entries, monthly statistical reports, financial reconciliations, and variance reporting.
  • Generate and distribute monthly financial reports and audit documents as requested.
  • Monitor the financial software suite, identify issues, and assist in resolving problems.
  • Perform daily cash-outs from the BookKing system.
  • Review and reconcile expense claims for accuracy and compliance with policy.
  • Provide administrative and front reception support as needed (e.g., issuing business licenses, taking utility payments, or covering breaks, vacations, and absences).
  • Disaster payables as needed in emergent situations. 
  • Take on other related duties as assigned.

Qualifications & experience:  

Your resume and cover letter must clearly describe how you meet the following minimum qualifications:

  • Secretarial or Business Administration Diploma (and/or equivalent combination of education and experience).
  • 2 years of experience with accounting software, preferably Diamond Municipal Software and Management Reporter.
  • Experience with Microsoft Office excel and word processing.
  • Experience with email and web-based reporting systems.
  • Accounts payable and receivable experience considered an asset.
  • Equivalencies may be considered on the basis of one year experience for one year of education.
  • Candidates with lower qualifications are encouraged to apply and may be considered at a lower classification and pay
